Adding and Managing Cash Entries
Learn how to record cash in/out transactions, attach receipts, add notes, and use smart predictions.
Entries are the heart of CashFlowly. Every time money comes in or goes out, you record it as an entry. Here's how to make the most of the entry system.
Creating a New Entry
From the book dashboard, tap either:
- Cash In (green): For money received—sales, payments, refunds, etc.
- Cash Out (red): For money spent—purchases, bills, salaries, etc.
Entry Form Fields
Each entry can include:
- Amount (required): The transaction amount. Smart suggestions appear based on your history.
- Date & Time: Defaults to now. Tap to change for backdated entries.
- Category: Organize entries (e.g., Sales, Rent, Food). Categories are filtered by entry type.
- Contact: Link to a customer (for cash in) or supplier (for cash out).
- Payment Mode: How the payment was made (Cash, Bank, UPI, etc.).
- Notes: Add any details. Supports iOS Writing Tools for AI assistance.
- Attachment: Attach a receipt or invoice photo from camera or library.
- Custom Fields (Pro): Additional fields you've defined for your book.
Smart Amount Suggestions
When the amount field is empty, you'll see "Quick amounts"—your most common transaction amounts. Tap one to fill it instantly.
Editing Entries
To edit an existing entry:
- Swipe left on the entry and tap "Edit"
- Or tap the entry to view details, then tap "Edit"
All fields can be modified, including the entry type.
Deleting Entries
To delete an entry:
- Swipe left on the entry and tap "Delete"
- Confirm the deletion
Deleted entries cannot be recovered, so be careful. If you have "Confirm Before Delete" enabled in settings, you'll always see a confirmation dialog.
Searching Entries
Use the search bar to find entries by:
- Amount (e.g., "500")
- Category name
- Contact name
- Notes content
Filtering Entries
Tap the filter icon next to search to filter by:
- Entry type (Cash In or Cash Out)
- Date range
- Category
- Contact
- Payment mode
The balance summary updates to reflect only filtered entries, so you can see totals for specific criteria.
