Managing Multiple Businesses and Books

Tips for organizing multiple businesses and books to keep your finances separate and well-structured.

CashFlowly Pro lets you create unlimited businesses and books. Here's how to organize them effectively.

When to Use Multiple Businesses

  • You own separate legal entities or companies
  • You want to track personal and business finances separately
  • You manage finances for different clients
  • You have distinct business ventures (e.g., a shop and a consultancy)

When to Use Multiple Books

Within a single business, use multiple books for:

  • Different projects or departments
  • Different currencies (each book has one currency)
  • Different bank accounts or cash registers
  • Different locations or branches
  • Separating operational vs. capital expenses

Creating a New Business

  • Tap the business name in the top-left corner
  • Select "Add Business"
  • Enter details and save

Each business has its own logo, contact info, and set of books. This info appears on PDF reports.

Switching Between Businesses

Tap the business name/logo in the top-left corner to see all your businesses. Tap any business to switch to it. Your last-used book in that business will be remembered.

Organization Tips

  • Use clear names: "ABC Corp" not "Business 1"
  • Add logos: Visual distinction helps when switching
  • Color code books: Use different colors for quick identification
  • Consistent categories: Use similar category names across businesses for easier comparison
  • Import contacts: You can import contacts from one book to another

Free Plan Limits

The free plan allows 1 business and 1 book. If you need more, upgrade to Pro for unlimited businesses and books. Your existing data is never deleted—you just can't add more until you upgrade.

iCloud Sync

All businesses and books sync automatically across your devices via iCloud. Changes made on your iPhone appear on your iPad within seconds. Make sure you're signed into the same iCloud account on all devices.
